FlyAway Cars Ltd, based in Leicester, United Kingdom, is the controller of the personal information described in this policy. It explains how we use information when you visit our website, request a quote, make or travel on a booking, or contact us.
1. Information we collect
- Identity and contact information such as your name, email address and phone number.
- Journey information including addresses, dates, times, flight details, passengers, luggage and accessibility requirements you choose to share.
- Booking, payment status, correspondence, feedback and complaint records. Payment card details are handled by our payment provider and are not intended to be stored by us.
- Technical and usage information, such as device, browser, approximate location, referrer and interactions, only where permitted by your cookie choices.
- Information about another passenger when you book for them. You should make sure they know you have shared it with us.
2. Why we use information and our legal bases
- To quote, arrange and deliver your journey: necessary to take steps at your request and perform our contract.
- To communicate about bookings and provide support: contractual necessity and our legitimate interests in running a responsive service.
- To maintain financial, licensing and safety records: compliance with legal obligations and our legitimate interests.
- To prevent misuse and protect our website: our legitimate interests in security and fraud prevention.
- To measure and improve the website: your consent for non-essential analytics, which you may withdraw at any time.
- To measure advertising: your consent for marketing technologies, which you may withdraw at any time.
Where you voluntarily share health, mobility or accessibility information, we use it only to make appropriate journey arrangements and on the basis of your explicit consent or another lawful condition that applies.
3. Who receives your information
We share only what is reasonably necessary with drivers and transport partners fulfilling your booking, and with providers supporting email delivery, website hosting, payment processing, customer communications, security, analytics and advertising. Current website services include DM Taxi Assistant for the online booking form on this website, Resend for contact-form email, Cloudflare Turnstile to help prevent automated abuse of the contact form, and Google Analytics and Google Ads where you have consented. When you use the booking form, journey and contact details are processed by DM Taxi Assistant so we can quote and arrange the transfer.
We may disclose information to professional advisers, insurers, regulators, law-enforcement bodies or courts where required or reasonably necessary. We do not sell personal information.
4. International transfers
Some providers may process information outside the United Kingdom. Where that happens, we expect appropriate safeguards such as UK adequacy regulations, the UK International Data Transfer Agreement or an approved addendum to standard contractual clauses. Provider privacy information explains their locations and safeguards.
5. How long we keep information
We retain enquiry information for up to 12 months where it does not become a booking. Booking, invoice and payment records are normally kept for up to seven years to support tax, accounting and legal requirements. Routine correspondence is kept only as long as reasonably necessary. Analytics retention is configured within the relevant provider and is subject to your consent.
We may keep information longer where a dispute, complaint, insurance matter or legal hold requires it, and may delete information earlier when it is no longer needed.
6. Your rights
Depending on the circumstances, UK data protection law gives you rights to access, correct, erase or restrict your information, object to certain uses, receive portable information, and withdraw consent without affecting earlier lawful use. You may also complain to the Information Commissioner’s Office at ico.org.uk.
To exercise a right, email info@flyawaycars.com. We may need to verify your identity and will normally respond within one month.
7. Cookies and analytics choices
Non-essential analytics and marketing technologies are off until you choose to allow them. You can reject them without losing access to the website, and reopen “Cookie settings” in the footer at any time. See our cookie policy for details.
8. Security and updates
We use reasonable organisational and technical measures designed to protect information. No online service can be guaranteed completely secure, so please avoid sending unnecessary sensitive details through the general contact form.
We may update this policy when our services or legal obligations change. The latest version will always appear on this page.
